What are the rental rates for each building?

How much is the deposit? Do we get it back?

  • Commercial events: The deposit for your event varies depending on the type of event you are hosting, and is fully refundable upon returning the rented facilities clean and undamaged.
  • Private events: The damage deposit is $250 and is fully refundable with the following conditions: buildings and restrooms are clean, garbage is emptied into provided dumpsters, tables/chairs are stacked, and there is no damage to any of the facilities.

Do we need security?
Security is required for all events, regardless of size, and all events serving or selling alcohol. 

  • Commercial events: Security requirements are determined by the Benton County Prosecuting Attorney and Risk Management offices, depending on the size and type of the event.
  • Private events: You are required to hire a Washington State licensed and bonded security company for your event. The minimum requirements are one (1) security officer per 100 people attending your event with a minimum of two (2) security officers. We will need to have a copy of the signed contract from the security company that you have hired. This contract must match your event time and estimated attendance that is stated in your Lease Agreement.

What are the hours we can have the event? (earliest/latest)
Rental fees cover the use of the facility from 8:00 am until 12:00 am midnight. No event will be permitted to continue after 12:00 am midnight. In all circumstances, the Fairgrounds will be closed to the public and event participants between the hours of 12:00 am and 6:00 am.

When can we set up and tear down?
You are able to set up for your event any time during the day of your event and must be taken down prior to vacating the property after your event. Any Fairgrounds equipment provided for your event (i.e. tables, chairs, waste containers, etc.) will be available in the building or rental area. It is then your responsibility to position the equipment as desired.


Can we tour the site?
You are more than welcome to tour the site and work with us to get your questions answered. To schedule a tour, please call the Benton County Fairgrounds Office at 509-222-3761.

Where can we park?
All event attendees must park in the Main Parking Lot only. During set up and take down, you are permitted to park next to the rented building or area.

Can we have alcohol? Do we need a permit?
Alcohol is permitted at the Fairgrounds, but if you plan to sell or serve alcohol at your event, one of the following Licenses or Permits will be required:

  • Commercial Event – Washington State Liquor License
  • Commercial Non-Profit Organization – Washington State Special Occasions License
  • Private Event – Banquet Permit

 

How many chairs and tables do we get? What kind are they?
Chairs and tables are available upon request, with the number available depending on the size and location of your event. Please see the Facility Rental Guide for information about building capacity. Here is a list of our current available inventory:

  • 45: 60 inch round tables with plastic top
  • 70: 8 foot banquet tables (some plastic, some wooden)
  • Approximately 800 folding plastic chairs
  • Approximately 180 folding resin chairs with seat pad
